Accounts and access

Creating your account

Register with your name, email and a password of at least 12 characters. You can add your premises afterwards.

Signing in

Use the email address you registered with. If you have forgotten your password, use the "Forgotten your password?" link on the sign-in page.

Adding other users

Standard Tier includes 1 user and Enhanced Tier includes 5 users. Additional users are £5 per user, per year.

Roles

Organisation Administrator, Responsible Person, Contributor and Read Only. Give people the least access that lets them do their job.

Update the premises record. The change is dated, so the history shows who held the role and when.

Adding a premises

Each premises gets its own record, its own assessment and its own plans, because each building is different.

Working out occupancy

Use the greatest number of people, including staff, that could reasonably be expected to be present at the same time. Record how you arrived at the figure.

Multiple premises sit under one organisational account with a shared dashboard. Contact us about multi-site access.

Premises that do more than one thing

Assess each use separately before concluding which tier applies — a school hall hired out at weekends is a good example.

Working through questions

Questions are asked one at a time, in plain English. Answer, confirm, and move on — you can come back and edit any answer later.

Saving your progress

Your work is saved as you go. Close the tab and pick up where you left off.

Understanding a question

Where a term might be unfamiliar, an explanation is available in place without leaving the question.

Answering "no"

A "no" is not a failure — it shows you why it matters and creates the action, so the gap is tracked rather than hidden.

Editing a completed section

A completed section opens as a read-only report with an edit control on each answer, and an option to walk the whole section again.

Documents and uploads

Uploading a file

Add images and PDFs against the question they relate to. Files are given a friendly title you can edit at any time.

Reusing a file

A file is stored once and can be placed on as many questions as you need. Choose it from your existing documents rather than uploading it again.

PDFs

Uploaded PDFs are shown as page images so they appear in the record and in printed or emailed plans, while still linking to the full document.

Removing versus deleting

Removing a file from a question only unlinks it. Files are deleted permanently from the document repository.

Replacing a file

Update a file once and it updates everywhere it appears. You will be warned if it is used in more than one place.

The four procedures

Evacuation, invacuation, lockdown and communication, built from information already in your record.

Sharing a plan

Each plan can be printed, saved as a PDF or emailed. Recipients get the plan content, not access to your workbook.

Marking a plan shared

Confirm when a plan has been written down and briefed to staff. The dashboard shows a shared-with-staff indicator per plan.

Locations and maps

Outdoor locations use an embedded map so you can drop a pin. Indoor locations use a description and a floor-plan upload.

Actions and reviews

Creating an action

Actions arise from your assessment and can also be added directly. Each has a priority, an owner, a target date and a status.

Overdue actions

An action past its target date is flagged on the dashboard and links directly to the action itself.

Completing an action

Mark it complete and attach the evidence — a photograph, an invoice or a briefing record.

Review reminders

Set a review interval and the responsible person is reminded by email when a review is due.
